Inefficient Old System Replaced with TMS
Advance Systems’ legal practice client is a medium-sized firm with 80 staff. Their commitment to professional excellence is reflected in their maintenance of ISO Quality Assurance Accreditation. Their systems are continually upgraded to maintain optimum solutions for both their clients and their own business.
The firm previously had a time and attendance system from another Irish provider. Having reviewed what Advance Systems’ time and attendance software, TMS, had to offer, they decided to change from their previous provider to TMS towards the end of 2005. "One of the key areas of importance from a new time management system was saving time, especially as the old system was quite time-consuming. The previous system was also becoming increasingly expensive to operate and was limiting in relation to the number of people that could use the system."
Huge Time Savings
In contrast to the firm’s previous time management system, TMS facilitates multiple users at no extra cost allowing for easy delegation of time management “TMS is a lot less time-consuming than our previous system. My time spent on administration has definitely been reduced. A certain part of my day, every day, was being taken up with managing staff attendance. I would say at least half an hour of my time, every day, is being saved since we installed TMS. TMS has resulted in a lot of time being freed up for other work, as now each manager has taken ownership of their own departments."
TMS Pays for Itself
"By decentralising time and attendance management to our various Department Managers at no additional cost, TMS would have saved the firm approximately €7,000 within the first year of installation. Based on these figures, TMS would have paid for itself easily within the first year. These savings do not include the labour savings we benefited from as a result of having extra time freed up, allowing the Human Resources Department to focus on other responsibilities."
Biometric Clocking
The availability of Biometric Clocking with TMS was a big deciding factor for us in choosing Advance Systems. "Initially when we announced the upcoming change over to Biometrics, some staff had concerns regarding privacy issues. We discussed these issues with Advance Systems who reassured us by providing us with information from the Data Protection Commission regarding the use of Biometrics and Privacy Rights. By the time of our TMS launch, all staff were happy to register attendance using Biometrics. Our staff reacted well to the new system and compliancy was excellent."
Monitor Flexitime
The company operates a flexitime system for a proportion of staff. "TMS allows us to monitor staff hours easily and to make sure that they are working their required hours. Advance Systems set up a report which helps me to monitor the hours worked by flexitime staff. I can review this report at any time during the accounting period to review worked hours."
User-Friendly and Efficient
In summary, "TMS really has made my life so much easier, especially in terms of managing attendance and absenteeism. I am very pleased with it and find the whole system very user-friendly and extremely efficient. TMS gives me exactly what I want and I have great back up from Advance Systems and their Support Desk."
