Manage Absenteeism and Time Recording

Elsevier is an integral partner with the scientific, technical and health communities. They provide researchers and healthcare professionals in 70 developing countries with free access to more than 2,000 scientific publications. The Irish branch is located in Shannon Co Clare, and they currently have 150 employees.

In 1998 Elsevier moved to their current location, at that time they had a workforce of 80 people and the company was growing rapidly. Managing absenteeism and time recording became more of a priority. The previous time and attendance system was outdated and unable to provide for the needs of the company.

Excellent Technical Know-How

Mary Minogue Elsevier's Head of Administration and Facilities Manager, wanted a time and attendance solution that could also act as a HR database. TMS was chosen because: "Advance Systems employees have excellent technical know-how and knowledge of their software. Their ability to relay information about their products in terms that anyone can understand was a huge benefit. Advance Systems staff also work closely with their clients to ensure that they maximise their use of TMS".

TMS Adapted Over 10 Years of Use

Elsevier has been using Advance Systems' time and attendance software for over ten years. Business grew rapidly from the year 2000 and there was a change in work practices to facilitate this growth. According to Mary Minogue, "TMS has adapted wonderfully to these changes". Shift patterns increased to 11 with the start of day being 7am and the close of business 8pm.

Elimination of Paperwork

Introducing TMS has empowered supervisors. They can run ranking reports on the attendance status of their departments, which allows them to take ownership of situations rather than depending on HR. In January of this year TMS.NET was introduced to Elsevier. This, according to Mary, "has eliminated paperwork. It cuts out data inputting and filing and has halved our workload as each department deals with their requests for holiday leave through the automated email system. “

20% Reduction in Absenteeism

“As the system can generate reports on absenteeism, the company introduced an incentive to all staff, based on achieving a 20% reduction in absenteeism. The 20% reduction in absenteeism was achieved within the first quarter of the year and the incentive is ongoing.

We have also introduced Advance Systems Access Control to maintain security at Elsevier. This has the ability to display all staff currently on site in the event of an emergency, makes for a safer environment for cleaning staff who work after business hours.”

Unique Working Relationship

"The overall working relationship with Advance Systems is unique.  As one of their longest-standing clients a very easy working relationship has developed. The support has been superb and their professionalism is first class. I would advise clients seeking a time and attendance system of the many advantages and benefits of having Advance Systems’ TMS".
